How to set up a job in Webbtree?

To create a job on the Webbtree ATS click on the top right 'Add new' button and go to 'Jobs'



Setting up of a job involves 6 important steps apart from the basic details

  1. Fill the basic details 
  2. Creating an application form
  3. Assigning a hiring team
  4. Creating a hiring workflow and assigning stageowners
  5. Setup interview scorecard
  1. Fill the basic details:
    Enter the basic details for the job. The mandatory fields include: Job title, Department, Job description, Location, Job type and Skills. Note that all the fields under 'Preferences' like annual salary range, experience range, No. of vacancies, will not be visible to the candidates applying for the job via career site.

    Set your job status to 'Publish' if you wish to post this job to the career site. Alternately, you may set the status to 'Private' to make use of the job internally. You can always change these settings later.
  2. Creating an application form. 
    An application form is the form presented to the candidates who wish to apply for the job opening. Only published jobs will be live on the career site and enabled for candidates to apply.


    Completely customise your application form by entering the screening questions to be answered by the candidates.
    You have control over the type of answers i.e Single/Multiple choice, Text input, Yes/No or you can ask the candidate to attach a file and also select if the questions will be mandatory or non mandatory

  3. Assigning a hiring team:
    Any user with an activated account on ATS can be added to the hiring team of a job. Once the user is added to a hiring team, he will have access to the job based on his role. Select the checkbox as shown in the image to add the team to your job.
    • Admin: Will have complete access to all jobs, even the jobs that don't include this user in the hiring team, can tag candidates and move stage as well, can see all applications.
    • Staffing Manager: Will have complete access, even the jobs that don't include this user in the hiring team, can tag candidates and move stage as well, can see all applications.
    • Recruiter: Will have complete access to the jobs if added to the hiring team, can tag candidates and move stage as well, can see all applications.
    • Hiring Manager: Will be able to see all applications, can't change stage of an application, can view complete profile and reviews and notes of all applications.
    • Interviewer: Can only submit feedback when requested for it. Cannot view applications against a job.


  4. Creating a hiring workflow

    In this step you decide the different stages that make up your hiring process and the order of these stages. You have an option of selecting the Stage-owner for each stage. A Stage-owner will be notified when any candidate is added to their stage.

  5. Setup interview scorecard 
    Define the parameters on which the candidates will be evaluated by the interviewers. You can customise the review questions based on the interview information you wish to record against candidates for different profiles.


With this all done! Congratulations you have just created a job! 
See suggested candidates from the candidates data in your Webbtree ATS or use the search toolbox to start sourcing candidates for the job.
